Oral and Poster Preparation Guidelines

ORAL PRESENTATION GUIDELINES

Projection

All presentations are to be in PowerPoint, PDF or Keynote formats.

All lecture rooms are equipped with two computers (one PC and one Macintosh) and a LCD-video projector.

Software         

  • PC: Microsoft Windows XP and Office 2007.
  • Macintosh: Leopard, Office 2008 and keynote 2008.

You need to bring a copy of your presentation on a CD or Flash drive (USB Drive, memory stick) and have it loaded onto the speaker’s room at least 60 minutes before your session. If you are speaking in the first session of the day, we encourage you to load your presentation preferably the day before.

You will not be using your own computer for the presentation.

A technician specifically designated for receiving oral presentations will assist you at the speaker´s room. Please inform him if your presentation is PC or Macintosh

Speakers’ room (Room 4) opening hours:

Thursday, June 5 04.00 pm – 07.30 pm
Friday, June 6    07.30 am – 06.00 pm
Saturday, June 7  07.30 am – 06.30 pm
Sunday, June 8       07.30 am – 05.30 pm

If your presentation needs to call up additional files (e.g., a video file embedded in your PowerPoint presentation), please make sure with the technician that these files work properly and are available for transfer as well.

The allocated time to each talk is usually 30 minutes for invited speakers (25 minutes for presentation plus 5 minutes for discussion) or 15 minutes for contributed talks (12 minutes for presentation plus 3 minutes for discussion). Please gauge the length of your presentation according to your allocated time. Chairmen will inform you when you are within a few minutes of the end of your allocated time, and will be instructed to cut-off speakers who run over time.

There is no internet access in the presentation rooms. Please, do not rely on having internet access available during your talk.

The general procedure of the oral sessions will be:

  1. The chairman opens the session and introduces the first symposium invited speaker
  2. After each symposium invited talk, the chairman may allow short questions
  3. After the invited talks, the chairman introduces the contributed talk speakers.
  4. If there is available time, the chairman may conduct a general discussion at the end of the session.
  5. The chairman closes the session

POSTERS PRESENTATION GUIDELINES

  • Posters will be presented in the Level 0.

  • Posters should be prepared in advance and should be brought in person by the authors. DO NOT MAIL YOUR POSTER.

  • The dimensions of your poster must NOT exceed the 90 cm wide by 130 cm high.

  • For easy identification, posters should have a heading, listing the title and author(s), with lettering for the title at least 4 cm. in height. Poster must be readable from a distance of at least 1 to 2 meters. The poster should be designed to summarize current research in graphic forms, i.e. charts, tables, graphs, and pictures. Presentations should be self-explanatory so that the presenter is free to supplement and discuss particular points.

  • Materials for assembling posters (tape) will be provided in the Level 0. Posters can be fixed on the poster boards from Thursday, June 5 at 4.00 pm. Posters have to be removed on Sunday, June 8 before 5.30 pm. Posters will be displayed during all the Meeting.

  • The Meeting will not be responsible for any loss or damage occurred to posters left on the panel beyond Sunday, June 8, at 5.30 pm. Posters left on the panel will not be mailed to the authors after the Meeting.

  • The code of a poster presentation in the program is identical to the poster board number.

POSTER PRIZES

  • All posters presented by graduate students and postdoctoral fellows will be considered for prizes, 6 prizes for each category.

  • Judging time. There will be three judging times.

    J1. Posters: P001 - P299 Friday, June 6 from 02.00 pm to 03.00 pm
    J2. Posters: P301 - P525 Friday, June 6 from 05.00 pm to 06.00 pm
    J3. Posters: P528 - P750 Saturday, June 7 from 2.00 pm to 03.00 pm

  • Please be sure to stand by your poster during the designated judging time in case the judges have specific questions. If the author is not present at the scheduled time, the poster might be not considered.

POSTER SESSIONS

  • There will be five posters sessions (see the scientific program) and in two of these sessions the authors are expected to be present to answer questions.

    PA1. Odd Poster numbers: (i.e., P001, P003, …, P751).
    Saturday, June 7 from 05.30 pm to 07.00 pm
    PA2. Even Poster numbers: (i.e., P002, P004, …, P752).
    Sunday, June 8 from 01.30 pm to 03.00 pm

  • Please remember that the poster sessions are different than the poster judging time.
